Ordering

Should I create an account before I order?

While accounts aren’t mandatory to order from our store, we strongly advise that you create an account before you order. An account allows you to collect Calimacil Gold on each order you place on our store. In addition, it will make your ordering process faster as it will store your shipping information. Finally, you’ll be able to see your order history and the status of each order when you log in your account.

I have a coupon code. How can I use it?

Coupon codes are a great way to save on our LARP equipment. We often share coupon codes with our email subscribers and our Facebook fans during promotions. Coupon codes are also available to purchase with Calimacil Gold in our reward app.

You can use the coupon code during the checkout process. On desktop, there is a field called “Gift Card or Discount Code” on the left side of the screen. On Mobile, this field will be available at the Payment step, just before the credit card information.

Important : Note that you can only use a coupon code at once. For example, you will not be able to combine a promotional code with a Gold reward code.

What is the return policy?

All purchases of Calimacil products are covered by a return policy of 60 days. For more detail see Calimacil's 60 days Return Policy .

Calimacil Gold

What is Calimacil gold?

Calimacil Gold is a loyalty program we have created to recognize our customers ongoing support through the years. For each canadian dollar spent on items, we give the customer 1 Calimacil gold. The gold can then be used to claim promo codes in our reward app located in the bottom left corner of the screen. Based on the rewards you can claim, this is equivalent to a 10% return!

Do I need an account to collect Calimacil gold?

Yes. If you would like to benefit from our reward program, then you should create an account on our store and make sure to log in when you place an order.

How can I use my Calimacil gold?

You have collected 50 Calimacil gold coins or more? Then, you can claim a reward. To do so, log in to your account and click on the yellow button “Calimacil Gold” on the bottom left corner of the screen. In the “Reward” tab, you can claim a coupon code to use in your next order.

Important: Avoid claiming multiple small coupons. You can only use one per order, so make sure to get the biggest coupon available with your gold amount.

I have multiple coupon codes and the checkout will only accept one, what can I do?

We do not allow customers to combine promotions with gold rewards.

However, if you have multiple coupon codes from the reward program, for example, multiple 5$ coupons, you can contact us and we will fix the situation for you by cancelling the coupons and giving the gold back to you. You’ll then be able to claim a bigger coupon with your gold.

Shipping

How are the shipping fees calculated?

The shipping fee of each order varies based on the destination, the weight and the size of the parcel. We always ensure that you don’t pay more than the minimum rate for your order. In addition, we do not charge anything for packaging and handling of your order.

To find out what the shipping fee of your order is, you can use the shipping and tax estimator in the cart. You will also get the shipping fee during the checkout process.

All orders are shipped from our warehouse in Sherbrooke, Québec Canada. We work diligently with Canada Posts and Fedex to make the deliveries the fastest and less expensive possible.

When will I receive my order?

We understand shipping delays are very important for our customers. We have added the “Shipping Delay” information in all our product pages. This information is dynamic based on the stock availability of a product. You can estimate the delivery date of your order based on the product with the longest shipping delay.

In Stock : 7 to 20 days
Pre-Order : 2 to 12 weeks based on the manufacturer of the item
Out of stock : This item cannot be ordered

When all the items are in stock, our processing and handling time is normally between 1 and 4 days. Once the order is shipped, we will send you a confirmation email with the order’s tracking information.

Note: These estimated time frames are an average calculated within normal conditions. It does not take into account all holidays, payment review delays, mislabeled inventory and/or any other problem that may occur. Thank you for your discernment and understanding.

Why is my order unfulfilled?

Your order will switch status from unfulfilled to fulfilled when it is ready to be shipped. On that same day, you will receive an email with a tracking number.

You won’t receive a tracking number as soon as you order. If the item isn’t ready and shipped, it is normal that you don’t have a tracking number yet.

Do I have to pay Duty Fees, taxes and customs on international orders?

Shipping, Duties & Taxes

For the United States

We now offer a new surprise-free shipping solution for all U.S. orders. Shipments leave every Wednesday, and orders placed before Monday 9:00 AM (EST) are included that week. Duties and taxes are calculated automatically at checkout and displayed transparently — no hidden fees or surprises on delivery.

For Europe

When available, you can choose Duties & Taxes Included or Excluded at checkout. If included, we take care of everything for you. If excluded, you’ll pay import fees directly to customs. In most European countries, only the local sales taxes (VAT) apply, similar to buying locally, and these are often already included in the prices.

For Australia

No Duties & Taxes Included option is currently offered. However, under the Canada–Australia Free Trade Agreement, all orders under $1,000 CAD are exempt from import duties and taxes. Orders above this value may be subject to local import fees.

For other countries

We currently do not offer Duties & Taxes Included shipping. Customs duties and import taxes may apply depending on your country’s regulations. If customs refuses or returns a package, Calimacil reserves the right to charge return shipping fees. The order amount will be refunded once the parcel is received back at our facility.

Duties are holding my order, what can I do?

Duties can sometimes hold some packages and ask for more information. If this happens, contact us at info@calimacil.com and we will help you provide the necessary documentation to unhold the package.

Calimacil Products

What are Calimacil products made of?

Calimacil foam (often misnamed injected foam) is an industrial-strength polyurethane foam with a delayed reaction for injection use. Calimacil foam offers many advantages compared to latex, which is often used in the production of foam weapons. These are a few of the characteristics that differentiate Calimacil foam weapons from latex weapons: spectacular realism, durability in extreme combat conditions, weather resistant, very safe.

Which LARPs accept Calimacil weapons?

Calimacil works closely with many LARPs in Quebec, Belgium, France, USA and Germany to ensure that our weapons are always compliant and meet the needs of the players. Since there are many LARP organisations in the world, with all their own set of rules, it is the duty of the customer to make sure the weapon will be approved by the organisation before placing an order.

How long does a Calimacil weapon last?

Calimacil foam weapons are the most durable on the market and they require no maintenance. Some of our clients run vacation camps for kids and the weapons can last many years many years despite being used every day during summer time.

What is the warranty on Calimacil products?

How can I repair or repaint my Calimacil?

I can’t find a particular model on your store, does it still exist?

If you can’t find the model you are looking for on the store, there is a good chance it has been discontinued. Over time, we have to remake the molds for our products and it is a very costly process. We tend to discontinue older models when we start getting issues with the molds. This way, we can put more energy towards the new designs.

Custom Products

Does Calimacil offer custom LARP weapons?

Yes! We have a Custom Sword Builder tool for a few years now. You can use it to combine our handles with our blades to create your own LARP sword. Not all blades and handles can be combined, so we’ve programmed the tool to show you only the available options for each handle you select.

We also have a Custom Staff Builder tool that lets you create your own LARP hammer, axe or mace. Again, not all staffs work with all the handles, so the tool will only show you the available options for each head you select.

We've also created a Custom Katana Builder to let you build your own LARP Katana. It has a lot more options.

These are the only custom products we offer. Since our process requires expensive molding in order to produce foam weapons, we cannot work on unique pieces.

Why are custom products more expensive than standard products?

Custom orders are complex to manage and require more time and resources at each step of the production and fulfilment process. Moreover, many options, colors and combinations that are not normally produced are available in the custom builders. Our teams need to set aside their work for a moment and handle the custom project together to avoid mistakes and deliver a perfect product.

How long does it take to get a custom product?

Expect your custom sword of staff to be delivered within 3 to 6 weeks. It can take longer during the high season.

Some of your designs are missing from the custom product builders, why?

We try to keep the custom sword and staff builders as up to date as possible, but some designs cannot be added or have to be removed. For example, if we no longer offer a product because it is old and we decided not to remake the molds, we are also going to remove it from the builder. Also, if a design comes from another franchise, we may not have the right to offer it in the custom builder. Finally, some new designs just haven’t been added yet. We may be still testing them with different blades to know what we can offer.

Safety Information

Are Calimacil products safe for children?

Yes, Calimacil weapons respect CE EN-71 safety standards. The CE standard is a European compliance standard on the safety of toys for children between the ages of 4 and 14. However, all children should be supervised by an adult in charge and must know how to properly hold and use the sword.

Can I get hurt with a Calimacil weapon?

It is your responsibility to strike safely, that is to hit not using full force, avoid hitting the face or sensitive areas. Just as in a paintball game, some may get bruises, and it is also your responsibility to wear adequate protective gear depending on your game style.

Calimacil Guild

What is the Calimacil Guild?

Calimacil Guild is a sponsorship program we have created to support LARP organisations around the world. Each time a player places an order on Calimacil.com, the associated LARP organisation will earn 10% of the product value in its Calimacil Guild account. All the organisation has to do is register for the program, get approved and share the unique link with its players.

The organisation will then be able to transform its earnings into Calimacil gift cards to order products from the store. These items can then be used to improve the decorum at events, gear up NPC, etc.

How does the unique link work and why do I need to use it?

The unique link adds a cookie to your browser. If you order from the same device within 7 days, we will be able to track your order and send a 10% commission to your LARP. We advise you to click the link again just before you order to make sure it works.

I am a LARPer, how can I know if my LARP is part of the Guild?

We do not have a list of subscribed LARPs at the moment. The best way would be to check the organisation’s website, Facebook page or Facebook group for their unique link.

If you can’t find anything, contact your LARP administrators to ask them and feel free to suggest they fill out our registration form if they are not part of the guild.

I have a coupon code. Can I use it and still support my LARP organisation?

Yes! We do not allow customers to use multiple coupons, this is why we are using unique links for our sponsorship program. If you order during a sale or want to use some of your Calimacil Gold, your LARP organisation is still going to get the commission.
